Send Message Processing: Automatically Categorize Outgoing Messages

ClearContext can help keep sent messages organized and filed in addition to received messages. The Send Message Control Panel optionally asks for a Topic assignment as a message is sent and files the message to the appropriate Topic folder.

Automatically save and categorize outgoing email 

To facilitate the assignment of Topics to sent messages, ClearContext can query for a Topic Assignment as a message is being sent via the Send Message Control Panel. After pressing the Send button, if a Topic has not yet been assigned to the message, ClearContext will ask for one. This ensures that future email in the conversation will reflect the correct Topic and that, when the option is enabled, the sent message will be filed in the correct Topic folder. Turn this option off/on via the check box next to "Ask about selecting a Topic if one is not assigned" in the Topic Options tab of ClearContext Preferences (ClearContext > Options > Preferences). The Send Message Control Panel also displays other actions that are being taken during message send, including any follow-up tasks being created (Pro only) and the action being taken on the original message that the reply was generated from.

Selecting the Save Sent Messages option under ClearContext > Options > Preferences ensures that sent messages with a topic assigned to them (either via the open message's topic drop down menu or because a topic was previously assigned to the thread) are automatically stored in the appropriate ClearContext Topic Folder rather than the Outlook Sent Items folder. This keeps received and sent correspondence regarding a given topic stored in one single location rather than scattered across multiple folders.

Turning Off the Send Message Control Panel

For all ClearContext actions associated with sending a message, check the "Do not show..." or "Do not ask..." check box in the Send Control panel to ensure that the message is not displayed again.
