Personal Pro Advanced View Management: Customizing Inbox Views

ClearContext comes with customized views that display email messages that have been scored via the ClearContext scoring algorithm and display topic assignment. All views are accessed via the ClearContext menu, depicted below. Advanced customization may be completed to tailor the views to your specific needs.

Prioritized Email Views

 

View Selection

ClearContext can present messages color-coded, in priority order, grouped by date range, and/or threaded by conversation depending on the Inbox View that you select. See a description of the views ClearContext installs.

 

By default, ClearContext installs the By Date view.  Select ClearContext > Inbox Views > View Selection Wizard to select from your view choices.

At any time, you can switch between individual views by selecting them from the ClearContext Inbox Views menu. The view currently in use is designated by the arrow icon on the Inbox Views menu.

In all of the color-coded views (Prioritized By Day, Prioritized By Week, Threaded, and By Date), highest priority emails are shown in red, normal, personal correspondence is blue, low priority emails from known senders are green, and mail from unknown senders (including spam) is black and gray.

 

View Restoration

ClearContext's views are easily changed via Microsoft Outlook. Clicking on a header (such as Subject or Date) will re-arrange messages. If, at any time, you would like to ensure that you are looking at your chosen ClearContext view as it was designed, select Reset Current View from the ClearContext menu (ClearContext > Inbox Views > Reset Current View).

You can restore all views to their saved state view ClearContext > Options > Views > Restore.

 

View Configuration

You can modify ClearContext views in any way you like and save a copy for future use. Changes may be made within the Outlook Views menu. Select the Automatic Formatting function underneath the View menu in Outlook and alter the font of the ClearContext fields CC-HighPriority, CC-MediumPriority, CC-LowPriority, and CC-NonJunk to display messages in different colors, styles, etc.. In Outlook 2002 this menu is found via View > Customize Current View > Automatic Formatting. In Outlook 2003 this is found via View > Arrange By > Customize Current View > Automatic Formatting. In Outlook 2007 go to View > Current View > Customize Current View > Automatic Formatting. After making the modifications you desire, select ClearContext > Inbox Views > Save Current View to save the selected view. This saved view can be restored by selecting Reset Current View.

If you want to revert to factory default views, select the "Restore Original" button on the ClearContext options menu (ClearContext > Options > Views). You can toggle the Preview Pane (displaying the message in split-screen) and AutoPreview (viewing the first few lines of unread messages) from the View menu on the main Outlook menu. You can revert to the default native Outlook Inbox view by selecting View > Current View > Messages. See Setup & Configuration FAQ for additional instructions on how to change views.

  As mentioned earlier, when you click on a header in Outlook (i.e. From, Subject, Received) you re-order your messages in the Inbox. Select ClearContext > Inbox Views > Reset Current View at any time to restore the ClearContext view you are using. This will ensure that your messages are presented in the order that you selected in the View Selection Wizard.

If you often find yourself using Reset Current View, consider adding the Reset Inbox button to your Inbox toolbar via toolbar customization.
